Admin Executive

Seeking male admin executive proficient in vendor management, attendance and payroll, statutory compliance.

Experience level: 0-2 years

About the Role:

As an Admin Executive you will be working on various admin related tasks.

What Would You Do at ALTRES?

Vendor Management / Procurement:

  1. Getting quotations for equipment from Vendors
  2. Creation of Purchase Orders with appropriate supervisory approvals
  3. Following up on the delivery/repair of equipment in the office
  4. Ensure pricing matches on Quote/PO/Invoice
  5. Communication with vendors in case of any discrepancies
  6. Ensure items are under warranty & ensure regular maintenance
  7. Responsible for AMCs

Attendance & Payroll Management:

  1. Creation/Verification of attendance data for the month
  2. Sending reimbursement/other receipts to the payroll provider for payroll processing
  3. Communicating with Payroll provider for the first cut, final cut of payroll processing, and ensuring pay slips are released after supervisory approval

Statutory Compliance:

  1. Coordination with the appropriate agency/authority for the generation of challans and payment of Service Tax, Profession Tax, Provident fund, and TDS.
  2. Verification of filing of quarterly/bi-annual/annual returns of ST, PT, PF, TDS, GST,
  3. Documenting board resolutions and minutes of
  4. Update Payment & Compliance

Miscellaneous:

  1. Ensure payments of electricity bill, rent, telephone bills, contractors, vendors, , with appropriate supervisory approvals.
  2. Ensure supply stocks & coordinate with housekeeping/office boy for
  3. Coordinate with 3rd party service providers for HR
  4. Coordinate with the Desktop & Network admin for infrastructure-related
  5. Work with employees to address their concerns relating to infrastructure/equipment.
  6. Identify and work with contractors for office
  7. In-house event planning & event execution from time to
  8. Able to work with the US team for any administrative processing
  9. Travel to places outside of the office as and when
  10. Employee Transport management for night

Financial:

  1. Verify proper filings of receipts/invoices, , under proper categories once a month.
  2. Keep a dashboard of necessary filings/payments/compliances dates ready in advance for the management to act on.
  3. Update petty cash and financial transactions daily in
  4. Generate & maintain the trend monthly expenditure
  5. Maintain MIS as per management’s

What Do You Need for The Job?

  1. A male candidate preferably B. Com, BBA, BMS with proficiency in Word, excel, Outlook and power point. Is a must.
