Admin Executive
Seeking male admin executive proficient in vendor management, attendance and payroll, statutory compliance.
Experience level: 0-2 years
About the Role:
As an Admin Executive you will be working on various admin related tasks.
What Would You Do at ALTRES?
Vendor Management / Procurement:
- Getting quotations for equipment from Vendors
- Creation of Purchase Orders with appropriate supervisory approvals
- Following up on the delivery/repair of equipment in the office
- Ensure pricing matches on Quote/PO/Invoice
- Communication with vendors in case of any discrepancies
- Ensure items are under warranty & ensure regular maintenance
- Responsible for AMCs
Attendance & Payroll Management:
- Creation/Verification of attendance data for the month
- Sending reimbursement/other receipts to the payroll provider for payroll processing
- Communicating with Payroll provider for the first cut, final cut of payroll processing, and ensuring pay slips are released after supervisory approval
Statutory Compliance:
- Coordination with the appropriate agency/authority for the generation of challans and payment of Service Tax, Profession Tax, Provident fund, and TDS.
- Verification of filing of quarterly/bi-annual/annual returns of ST, PT, PF, TDS, GST,
- Documenting board resolutions and minutes of
- Update Payment & Compliance
Miscellaneous:
- Ensure payments of electricity bill, rent, telephone bills, contractors, vendors, , with appropriate supervisory approvals.
- Ensure supply stocks & coordinate with housekeeping/office boy for
- Coordinate with 3rd party service providers for HR
- Coordinate with the Desktop & Network admin for infrastructure-related
- Work with employees to address their concerns relating to infrastructure/equipment.
- Identify and work with contractors for office
- In-house event planning & event execution from time to
- Able to work with the US team for any administrative processing
- Travel to places outside of the office as and when
- Employee Transport management for night
Financial:
- Verify proper filings of receipts/invoices, , under proper categories once a month.
- Keep a dashboard of necessary filings/payments/compliances dates ready in advance for the management to act on.
- Update petty cash and financial transactions daily in
- Generate & maintain the trend monthly expenditure
- Maintain MIS as per management’s
What Do You Need for The Job?
- A male candidate preferably B. Com, BBA, BMS with proficiency in Word, excel, Outlook and power point. Is a must.
